QUESTIONNAIRE

Your questionnaire is due at least four weeks before the workshop: March 27, 2025. If you do not complete your questionnaire at least four weeks before the workshop, you risk forfeiting your spot in the workshop, and are subject to our cancellation policy.

WAIVER

Please review The Aerie Retreat Release of Liability waiver by April 20, 2025. We ask that the hard copy waivers are signed upon arrival at the venue. 

Required to staff

◇ You must be present at all mandatory staff meetings and participate in the entire duration of staffing.

◇ Take some time to review our Staff Guidelines and make sure you understand and agree to what we are asking of you. If you have any questions you can ask them during our conference call, or email us at natalie@theaerieretreat.com. If you are not ready, willing, or able to comply with what we are asking of you, please let us know by March 24, 2025.

Mandatory staff Meetings

These meetings are mandatory and an essential part of holding the space for the workshops participants. This is the first time where we all come together and create the depth and safety of the container for the participants. You will be informed about the overall flow of the weekend and your part in it, and all other logistics you will need. If you absolutely cannot make the call, please email Natalie by April 10 and you will receive a recording that must be listened to within 48 hours. Thank you.

The first meeting will be on Zoom on Monday, April 14, from 5:30pm – 7:00pm PT.

Our on-site completion meeting will also be on-site Sunday, April 27 after breakdown, at approximately 3:00pm.

Staff Post-Workshop Integration Zoom

This completion Zoom meeting will be held to support you with post-workshop integration, and in addressing any concerns or triggers that may be present for you after your experience in holding such tremendous space on staff. To help resource you, we will have a Zoom call on Thursday, April 30, from 6:00pm – 7:15pm PT.

Travel & Arrival Schedule

◇ Please be on time and plan to arrive by Thursday, April 24, by 9:00am for check in at 9:15am. Plan to stay until we complete at 4:00pm on Sunday, April 27.

◇ All staff is welcome and encouraged to arrive the day before, Wednesday, April 24, after 4:00pm. This is included in your staff fee and is at no additional cost; however, please email Natalie by April 1 to confirm your reservation.

◇ Meals are provided for staff starting breakfast on Thursday. If arriving on Wednesday, you are responsible for your own meal. Coffee/tea is provided all weekend.

◇ Please make your travel arrangements for Sunday to accommodate you leaving the site no earlier than 4:00pm.

◇ Please note travel time is approximately 1.5 hours from Medford Airport and 4-6 hours from San Francisco or Sacramento Airports. Our travel coordinator can also support with making arrangements.

The Aerie Retreat Center

The Aerie Retreat & Spiritual Center is nestled in Bear Valley in southern Oregon, along the Volcanic Legacy Scenic Byway. Our property sits at 4,400 feet in elevation and just an hour north of Mt. Shasta. 

Important: When driving to the center, please type “The Aerie Retreat, Klamath” in Apple or Google Maps (vs address) for most accurate directions

Carpooling

Parking is limited, so we highly recommend carpooling with other participants. Please visit our carpooling forum to post a request for a ride, or to offer up a space in your vehicle to someone who needs a ride.

 

You can also email our Travel Coordinator, Rebecca Bresnick, for any support or questions around flight or ground transportation arrangements.

WHAT TO BRING

Please note: The Aerie Retreat Center is located at 4,400 feet in elevation. Please consider bringing appropriate layers to accommodate in the temperature fluctuations as well as anything you might need to support yourself at a higher altitude, such as electrolytes. We also suggest you begin hydrating and avoid alcohol a day or two beforehand, to support your transition to higher altitudes. 

◇ Loose comfortable clothes, for 3.5 days

Layers for warm/cool weather (the retreat center is at 4K+’)

◇ Workout clothes

◇ Light sweater &/or hoodie

Socks and/or slippers (the retreat center prefers no shoes in the retreat building) 

◇ Walking shoes and slip-on sandals

◇ Small tote bag or backpack to bring your belongings between buildings

◇ An umbrella and/or rain gear in case of weather

◇ A wrist watch

◇ A journal + pen (Pens provided by The Aerie)

◇ A large, covered water bottle

 A leak-proof travel cup for hot tea (you will NOT be able to bring any open containers into the group room)

◇ Sunscreen

◇ Bath Towel

◇ Any supplements, or special dietary items you may need

◇ Toiletry items, make up, jewelry

◇ An alarm clock

◇ A flashlight or headlamp with working batteries (Flashlights provided by The Aerie)

 Female Staff –  Please bring with you an outfit for the Friday night ritual, which should be white or light colored, and a special outfit for Initiation Day.

Male Staff – Please bring a special outfit that expresses the Noble Man in you for Saturday’s Initiation.

Important notes

◇ Staffing starts at 9:15am on Thursday, April 24, and ends at 4:00pm on Sunday, April 27.
You must be present for the entirety of staffing.

◇ We strongly recommend that you take off work the Monday after the workshop to relax and integrate your experience.

◇ We request that you limit your cell phone use for the duration of the retreat, or even turn it off completely, to limit distractions and give you the maximum benefit of the experience. Please give loved ones our event manager’s phone number in case of an emergency.

A gentle reminder of our health policy. If you are showing any signs of symptomatic illnesses within the five days leading up to the event or in the two days following the event, it is your responsibility to inform The Aerie Client Care as soon as possible. FREQUENTLY ASKED QUESTIONS

What are the accommodations like at the workshop?

We handpick our venue sites for comfort, accessibility, and a concentration on the natural beauty around us. Each site is different, but all feature stunning locations with comfortable accommodations for each participant. At this specific venue, The Aerie Retreat, the accommodations are more communal camping style and staff are staying in Lotus Belle Tents shared with two other staff members or in the main house. Heaters are also included for warmth as nights can get cold. Staff are also welcome to bring their own tents or camper vans for privacy and ease. We put a lot of thought and effort into making sure each participant is well-resourced, including asking for sleeping preferences before the workshop as part of the questionnaire. An on-site event manager is there to tend to any concerns that come up.

What is the food like at the workshop?

We have an on-site chef present to cook healthy meals for all participants, who attempts to cook with as much organic, natural food as possible and meet your dietary preferences. We ask for any food allergies or restrictions in the questionnaire, and we can accommodate most needs, including dairy-free, gluten-free and vegetarian. Please let us know if you have any dietary restrictions or concerns, and we will do all that we can to accommodate those needs. We ask that you honor your selection throughout the weekend when eating your meals and selecting food (i.e. if you are a vegetarian to eat the vegetarian option rather than the vegan or omnivore option). In the rare case we are not able to, we’ll make sure to communicate beforehand and provide space for you in the refrigerators on site.

What if i can’t get there in time, or have to leave early?

You cannot staff unless you can be present for the entirety of staffing. If a conflict comes up that would make it so that you cannot be present the entire time, please review our cancellation policy, and contact Natalie immediately. Please note, the first meal provided is breakfast on Thursday, so please plan to provide your own food for any meals prior. 

May I arrive on Wednesday night?

Yes! We highly encourage it as we start at 9:15am on Thursday morning. Also, Wednesday night accommodations are included in your staffing fee. We do ask that you please confirm if you will be joining us on Wednesday night so we can accommodate accordingly. Please email Natalie by April 1st if you would like to reserve an early arrival.

What is the policy if i need to transfer or cancel?

The workshop fees are non-transferable. If you cancel more than 60 days prior to the event, the fee is refundable; if you cancel between 60 and 30 days prior to the event, you will receive half of the payment; and if you cancel less than 30 days prior to the event, the payment is non-refundable. Please contact Natalie if you need to discuss a transfer.
