COMPLETE YOUR REGISTRATION

Please complete the following REQUIRED registration forms. Your registration is not complete until you do so.
If you are unsure if you have completed these forms, please inquire with clientcare@heartsonfirellc.com.

QUESTIONNAIRE

Your questionnaire is due at least four weeks before the workshop: February 6, 2025. If you do not complete your questionnaire at least four weeks before the workshop, you risk forfeiting your spot in the workshop, and are subject to our cancellation policy.

WAIVER

Please review and sign the Hearts on Fire, LLC Release of Liability waiver by February 6, 2025.

Required to staff

You must be present at all mandatory staff meetings and for the entire duration of staffing.

◇ Review our Staff Guidelines. Make sure you understand and agree to what we are asking of you as Staff. If you have any questions, you can ask them during our first group call or email us at clientcare@heartsonfirellc.com. If you are not ready, willing, or able to comply with what we are asking of you, please let us know by February 6, 2025.

◇ As a reminder, here are the terms agreed upon during registration.

◇ Hearts on Fire, LLC is following the federal guidelines around COVID-19, which do not require masks or a specific protocol. As a precautionary measure to ensure the safety of everyone in attendance, we are requiring that all participants, staff, and facilitators take a COVID antigen home test the morning of your arrival to the workshop venue.

Please take a picture of your negative test result and send it to our Event Manager, TBA, via text (123) 456-7890. If your test is positive, unfortunately, you will not be able to attend the workshop.

Mandatory staff Meetings

These meetings are mandatory and an essential part of holding the space for the workshops participants. This is the first time where we all come together and create the depth and safety of the container for the participants. You will be informed about the overall flow of the weekend and your part in it, and all other logistics you will need. If you absolutely can not make the call, please email Coco by Friday, February 21, and you will receive a recording that must be listened to within 48 hours. Thank you.

The first meeting will be a group video call on Monday, February 24 from 6:00-7:30pm CT.

STAFF POST-WORKSHOP INTEGRATION (ZOOM)

This post-workshop completion call will be held to support you with integration and will help you address any concerns or triggers that may be present for you after your experience in holding such tremendous space on staff. To help resource you, we will have a Zoom call on Thursday, March 13, from 6:00pm – 7:15pm CT.

As you know, integrating your workshop experience into your everyday life is a big part of the transformative process. To support your process, all workshop attendees are invited to join us in COR’s Finding Freedom: A Healing Practice for the Three Selves. This online series is hosted by Britta & Lee Eskey, the founders of this work, and Shandra LaMotte, a COR Lead Facilitator, and is FREE and exclusive to workshop attendees. It is an invaluable way to continue your journey.

Travel

◇ Please be on time and plan to arrive by 10:30am to check in.

◇ The following staff meals will be provided in advance of the workshop: Wednesday dinner & Thursday breakfast (for early arrivals) and Thursday lunch.

◇ You are welcome to arrive on site on Wednesday afternoon/evening, and many staff choose to do so in order to connect with other staff and get settled in. Please note that there is a $75 charge for one night’s stay; reserve your spot by February 27 here.

◇  Please make your travel arrangements for Sunday to accommodate you leaving the site no earlier than 4:00pm.

◇ Please note travel time is about 1.5 hours to Austin-Bergstrom International Airport.

◇  Carpool info below. PLEASE NOTE: All staff are encouraged to arrive on Wednesday by 1:30pm to Austin airport. The Hearts on Fire team will be organizing rides to the site for those who arrive before/by this time. Please email Client Care if you’d like to arrive on Tuesday evening.

TRAVEL SUPPORT

EARLY ARRIVAL PAYMENT

All staff is welcome to arrive a day early, March 5 after 5:30pm, for a $75 fee. Please make your reservation here by February 27.

CARPOOL FORUM

We highly recommend carpooling with other participants. Please visit our carpooling forum to post a request for a ride or to offer up a space in your vehicle to someone who needs a ride.

WHAT TO BRING

◇Loose comfortable clothes, for 3.5 days

◇ Layers for warm/cool weather

◇ Yoga or workout clothes

◇ A shawl or light sweater

◇ Socks and/or slippers

◇ Walking shoes and slip-on sandals

◇ An umbrella and/or rain gear in case of weather

◇ A wrist watch

◇ Tote bag or small backpack

◇ A journal and a pen

◇ A large, covered water bottle

◇ A covered thermos for tea service

◇ Sunscreen & bug repellent

◇ Any supplements, or special dietary items you may need

◇ Toiletry items (including shampoo/conditioner, soap), make up, jewelry

◇ An alarm clock

◇ A flashlight with working batteries

 ◇ Please also bring a special outfit with you for Initiation Day. You can also bring any special jewelry or accents for this outfit. It’s good to note that you do want to be comfortable in this outfit–you’ll be sitting and moving around while wearing it.

Important notes

◇ Staffing starts at 11:00am on Thursday, March 6 and ends at 4:00pm on Sunday, March 9. You must be present for the entirety of staffing.

◇ We strongly recommend that you take off work the Monday after the workshop to relax and integrate your experience.

◇ We request that you limit your cell phone use for the duration of the retreat, or even turn it off completely, to limit distractions and give you the maximum benefit of the experience. Please give loved ones our Event Manager’s phone number in case of an emergency:

PREPARING

COR Workshops are deep, transformational experiences that aim to offer all who attend a space to meet and process difficult life experiences to gain more agency, wisdom, and inner peace. In short, this isn’t light work. In many ways COR events follow the traditional arc of a rite of passage or initiation, and are to be held similarly as such.

In support of a beneficial, positive, and safe experience, it is imperative that all who attend a COR workshop experience abide by several self-care, preparation and integration practices in the week before and after the event.

  • Get sufficient sleep and do your best to plan restful days
  • Eat healthy, nourishing foods
  • Practice self-care in whatever ways best support you such as walks in nature, exercise, taking nourishing baths or showers, meditation/prayer, and spacious time at home
  • Receive emotional/spiritual support as needed from a coach, therapist or spiritual director
  • Limit or avoid high intensity media or deeply disturbing or upsetting environments
  • Abstain from consciousness altering experiences including but not limited to taking recreational drugs, alcohol to the point of inebriation, medicine journeys or other intense expansive experiences.
  • Begin reducing your most prominent addictive behaviors.

FREQUENTLY ASKED QUESTIONS

What are the accommodations like at the workshop?

We handpick our venue sites for comfort, accessibility, and a concentration on the natural beauty around us. Each site is different, but all feature stunning locations with comfortable accommodations for each participant. Most rooms are shared with one or two other participants, and some venues offer private accommodations. We put a lot of thought and effort into making sure each participant is comfortable and well-resourced, asking for sleeping preferences before the workshop. An on-site event manager is there to see to any concerns that come up.

What IS the food like at the workshop?

The venue has onsite catering. Please detail any food allergies or restrictions in the questionnaire, and we can accommodate most needs, including dairy-free, gluten-free and vegetarian. Please let us know if you have any dietary restrictions or concerns, and we will do all that we can to accommodate those needs. We ask that you honor your selection throughout the weekend when eating your meals and selecting food (i.e. if you are a vegetarian to eat the vegetarian option rather than the vegan or omnivore option). In the rare case we are not able to, we’ll make sure to communicate beforehand and provide space for you in the refrigerators on site.

can i do this workshop with a friend or relative?

Yes absolutely! Many people choose to staff the workshop of a close friend or family member, and it’s a very bonding experience. We encourage you to invite anyone who you are close to, and who might also benefit from the weekend.

What if i can’t get there in time, or have to leave early?

You cannot staff unless you can be present for the entirety of staffing. If a conflict comes up that would make it so that you cannot be present the entire time, please review our cancellation policy, and contact the Client Care Specialist immediately. Please note, the first meal provided is lunch on Thursday, so please plan to provide your own food for any meals prior. 

What is the policy if i need to transfer or cancel?

The workshop fees are non-transferable. If you cancel more than 60 days prior to the event, the fee is refundable; if you cancel between 60 and 30 days prior to the event, you will receive half of the payment; and if you cancel less than 30 days prior to the event, the payment is non-refundable. Please contact Client Care Specialist if you need to discuss a transfer.
